Board Meeting Minutes, Oct. 26, 2023

Attendees: Andrew Kalloch (President), Kathryn Adair (Treasurer), Sandy Smalley (Secretary), Randi Bowers-Payne (Managing Director), Thomas Hiura, Ingrid Kessler, Marilyn Milne, Ralph Pledger, Marti Ravits

Committee Reports:

Nominations Committee: Andrew

Every member of the Board is a member of this committee.

The recommendation is that every member of the Board bring the name of at least one nominee.

Nominations are due 11/30.

Program Committee: Andrew

There is a hope that we can get a sponsor in the future, but there are currently none sponsored.

We have at least one forum scheduled outside the Maple Room ( Erb Memorial Union on 11/17), with the hope of future fora in sites around town to further engage the community.

We are hoping to work with a PPM student from the university, perhaps to join our board.

Media Committee: Marilyn

Marilyn already submitted her report to the Board. No additions or changes.

Membership Committee: Ralph

We currently have 115 members.

We are considering a membership survey. The last one was done in early 2021.

Managing Director: Randi

She has created a generic email for our Treasurer and Managing Director, not tied to individuals.

Finance Committee: Kathryn

Mary Leighton has written and submitted some grant proposals.

We have discontinued the use of a bookkeeper, relying solely on Quickbooks.

Kathryn and Randi are working on simplifying Quickbooks, reducing the current 30 categories to 15. Because of previous entries, it is difficult to make side by side comparisons of our economic situation from year to year.

While we have money in our accounts, we are over budget for the year.

With our Managing Director leaving in May, we may consider switching to a contracted service, rather than a full-time MD.

Memberships may switch to a monthly payment, rather than yearly, so we have a sense of our monthly income. This would make our cash flow smoother and clearer. This proposal will go to our Membership Committee.

There are five people on our Finance Committee. This is not the Development Committee. The Development Committee’s job is to fund the budget. We need a robust and engaged Development Committee to do this.

Kathryn presented our budget for the year. It was passed with 1 nay vote.
