City Club of Eugene Board Meeting Minutes October 24th, 2024
Attendees: Kathryn Adair, Alyssa Gilbert, Kelly Johnson, Joey Bruckner
Notes – Unanimous approval of last month’s meeting notes
Discussion of Election Programming – feedback for the PC? – Lessons for next year? – On the measure forums, there would be time for people to think of questions and submit cards to have the moderator. – Question about moderators asking all questions – Challenge of partisan crowd in a partisan age – what to do, if anything? – Program committee discussed why we need to be quiet. – Moderator for the forum did not necessarily do their job, was not firm in their rebuke but did not handle the crowd very well – Another idea is to have the moderator give the questions for smoothing things out but take questions on cards from audience members. (KLCC asking on socials in advance to add questions)
Tabling at Community Events – how can we empower volunteers? – SWAG? (Buttons, stickers?) – Handouts? → Have a great annual report to draw from – Anything else? – Other ideas: – ladies at the front desk don’t have info about becoming a member or donating. They now have some of that info but having more information ready to go. Simple takeaways that we could give to people. – An FAQ – A photo display of some of our forums – [Mary L. recently tabled at an LTD forum and more opportunities like this may arise] – Volunteer stories on the website – Button for volunteer – Where are we known to table regularly? – Eugene Young Professionals.org – Talk at a 20/30 – Start with the neighborhood associations (there are 23 and can we identify a meeting?)
Membership committee update: – Ralph says membership has been looking up, a few new members. 114 members right now. Kathryn and Ralph are calculating on some data entry communication issues. We are adding those individuals into Bloomerang. Kathryn needs to send Ralph the remaining checks deposited. He is going to try to meet next month. Joey is going to touch base with Hershner Hunter and will get back to us.
Program committee update: – Election programming is over! – This upcoming program is about the dark history of Lane County. Anyone can nominate a person to the gifts of the city, Andrew will send us all the information from last year. – Specific forum sponsors- two healthcare forums coming up that have the themes. Could we reach out to PeaceHealth and see if they want to sponsor?
Media Committee update: – Not much of an update, Marilyn has been out and unavailable. We are still having issues with the website and desperately need to do updates. The issue of the domain is still in process ande could be updated.
Finance update: – We ended the fiscal year strongly, with a net of $13,807.34. Total income of the year is $62,045.40, which is a huge triumph. Kathryn is working on some process updates to ensure that all parties are being informed of incoming and outgoing.
COMMITTEE REPORTS
(Chair/Reporting) Membership Committee (Ralph) Program Committee (Alyssa) Media Committee (Marilyn) We’re continuing to deal with the fallout from changing our email address to cityclubofeugene@gmail.com. Our website’s address was registered with a domain company when we used executivedirector@cityclubofeugene.org; with the newer email address, we’re having difficulty accessing the domain to change the authorized users/update our security information. People who used to be in the know don’t have records to help us figure out this conundrum. We need to renew the domain in January. Our hope now is to be able to talk to the current domain registry when our web address is ready to renew. Alternatively, we can register a new website name and move our content to the new site. Our current site functions well and uses a logical name so we’d like to retain it if possible, plus avoid the cost of setting up a new site and moving the content. Another issue is that our site now requires two-step verification to make any edits or add content. The new security was a surprise and it turns out that I was the only one, besides PacInfo, which was bought by Alpha IT, and 9 Planets, who could access the site. That’s unacceptable. I’m working to add our Gmail address; meanwhile, I’ve added Ralph back to the system. Several weeks ago, we had to relaunch a weekly program we were recording because the sound wasn’t working. Luckily, the issue was caught, and the speakers and audience patiently redid the first part of the program! Ralph reports that our UO intern is helping with the recordings. I continue to post content to the website, send news releases to area media, post to our social media accounts about coming programs, create livestream teasers, edit the programs for KLCC and create podcast episodes. Naturally, I’d like to lighten my load! Anyone available to work on communications? Remember that at the end of this program year, I’m bowing out of the radio and podcast editing…. We are pleased that our little committee now includes Joey Bruckner as well as me, Ralph, and Jim Dotson.
Development Committee (Josh/Andrew) – Josh is working on securing sponsorships from Summit Bank and Roseburg Forest Products. Other possible organizations include Sierra Pacific, Pape Group, Market of Choice, and Chambers Construction. Josh is also working on re-engaging some lapsed sponsors including Luvaas/Cobb, Homes for Good, and others. If you think of anyone in the community that would be a good sponsor, let me know! Giving Tuesday is coming up on December 3rd, should we do any low/no cost things for that day, i.e. email campaigns or social media? Should we do a targeted ask and ask for funds in support of our switch to the WOW Hall? Or, we could ask for funds to “sponsor” or fund our Gifts to the City program at the end of the year? Just some thoughts – not tied to anything!
